Quick Tip: Using Voice Mail So You Look Like a Pro

I know you've listened to voice mail messages where you found yourself waving your arms to get the caller to get on with the message.

This type of long-winded message is not only unprofessional, it wastes time for the person you're calling – something you do NOT want to do with a client.

Here's a 30-second voice mail strategy/script that guarantees you'll leave short, informative messages clients will appreciate.

  1. Write the key points of what you want to say before calling.
  2. Speak slowly.
  3. Give your first and last name. Spell your last name if it's difficult.
  4. Give your telephone number with area code next … SLOWLY.
  5. Leave a brief message with no more than two key points.
  6. Tell whether you'll call back or wish to be called back. If asking to be called back, leave the times you can be reached.
  7. Give your phone number once again … SLOWLY.
  8. Thank the person you've called.

"Hello, Mr. Smith. This is Will Newman at 555-555-1234. I'd like to discuss the project you posted on the AWAI Direct Response Job Board. I'll call back tomorrow at 3 p.m. Eastern time. But if it's more convenient for you, I can be reached between 2 a.m. and 7 a.m. weekdays at 555-555-1234. Thank you for the opportunity to speak with you.

If possible, follow up with an email mentioning the voice mail. People are more likely to respond when your voice brings your email message to life.
